1. Who we are
mailme.nz (“we”, “us”) provides New Zealand–hosted email addresses (@mailme.nz), webmail, optional cloud storage, and single sign-on used by related freehosting.nz tools. We operate as a small independent service hosted in New Zealand.

2. What this policy covers
This policy explains how we collect, use, store and share personal information when you use:
- the mailme.nz website and waitlist or account signup
- your @mailme.nz mailbox (IMAP/SMTP and webmail)
- mailme Cloud (Nextcloud at mailme.nz/nextcloud)
- OpenID Connect / SSO login to freehosting.nz apps and other clients you authorise
- paid cloud storage billing (if you subscribe)
3. Information we collect
- Account details — chosen handle/email, password (stored hashed), optional display name or handle, and whether two-factor authentication is enabled.
- Contact and admin data — email used for notices, support messages you send us, and account status (active, closed, force password change).
- Mail content — messages, folders and attachments in your mailbox are stored so the service can deliver mail. We do not read your mail for advertising.
- Cloud files — files, photos, calendars and contacts you store in mailme Cloud.
- Technical logs — IP address, browser/user agent, timestamps, and security-related events (sign-in attempts, OIDC token use) needed to run and protect the service.
- Billing — if you buy extra cloud storage, we process payments via Stripe. We store Stripe customer/subscription identifiers and plan/quota status. Card details are handled by Stripe, not stored on our servers.
- SSO usage — when you “Login with mailme” on freehosting.nz or another client, we share limited profile claims you authorise (typically a stable user id, email, and basic profile fields) with that application.
4. How we use information
- to create and operate your mailbox, webmail and cloud account
- to authenticate you and provide single sign-on to services you choose
- to apply storage quotas and process subscriptions you request
- to prevent abuse, spam, fraud and security incidents
- to respond to support requests and service notices
- to meet legal obligations when we are required to
We do not sell your personal information. We do not use your mailbox contents for advertising or third-party marketing profiles.
5. Legal basis / NZ Privacy Act
We handle personal information in line with the New Zealand Privacy Act 2020. In short: we collect only what we need for the service, keep it secure, and use it for the purposes described here (or purposes you would reasonably expect).
6. Sharing
We may share information with:
- Infrastructure providers we use to host mail, web and databases in New Zealand (and any mail transport partners required to deliver email across the internet).
- Stripe for paid cloud subscriptions (payment processing).
- Apps you sign into with mailme (for example freehosting.nz tools) — only the identity data those apps request through the sign-in flow.
- Law enforcement or regulators if we are legally required to disclose information.
Email by design travels across other networks; recipients’ providers and intermediate mail servers may process messages as part of delivery.
7. Storage and security
Service data is hosted in New Zealand where practicable. We use industry-standard protections such as HTTPS, hashed passwords, session controls, and access restrictions on servers. No method of storage or transmission is perfectly secure; please use a strong unique password and enable two-factor authentication when available.
8. Retention
- Account and mailbox data is kept while your account is active.
- If you close your account, we delete or de-identify personal data within a reasonable period, except where we must retain records for security, billing disputes, or law.
- Backups may retain residual data for a limited backup cycle.
- Server logs are retained for a limited operational period.
9. Your choices and rights
You can:
- access and update many account settings while signed in
- export mail via IMAP and cloud files via Nextcloud clients
- close your account (where the product provides that flow) or email us to request deletion
- ask what personal information we hold about you, and request correction
Under the Privacy Act 2020 you may also complain to the Office of the Privacy Commissioner if you are not satisfied with our response: privacy.org.nz.
10. Cookies and similar technology
We use essential cookies and similar storage for sign-in sessions, security (for example CSRF protection) and preferences. We do not run third-party advertising trackers on the mailme marketing or account pages.
11. Children
mailme.nz is not directed at children under 16. If you believe a child has created an account without appropriate consent, contact us and we will take reasonable steps to remove it.
12. Changes
We may update this policy as the service evolves. The “Last updated” date will change when we do. Continued use after an update means you accept the revised policy for ongoing use of the service.
